The Town Council met this day in regular session at 7:00 p.m. in Sundance Council Chambers with Acting Mayor Brad Marchant presiding. Roll call was taken by Acting Mayor Brad Marchant with Council Members, Randy Stevenson, Callie Hilty, and Joe Wilson present. Mayor Paul Brooks excused absent.

Gari Gill-Fire Chief Appreciation of 22 years
Gari Gill was presented a plaque for his time as Sundance Fire Chief and his lifetime achievement of supporting and working with the Sundance Volunteer Fire Department.
Resolution 1, 2025 – Official Depository
COUNCIL MEMBER STEVENSON MOVED, COUNCIL MEMBER WILSON SECONDED a motion to approve Resolution 1, 2025 making Sundance State Bank our Official Depository. All Ayes, MOTION CARRIED.
Resolution 2, 2025 – Unanticipated Revenue ARPA Grants
COUNCIL MEMBER WILSON MOVED, COUNCIL MEMBER STEVENSON SECONDED a motion to allow the Brad to sign Resolution 2, 2025 Unanticipated Revenue ARPA Grants. All Ayes, MOTION CARRIED.
2025 City Appointments
COUNCIL MEMBER STEVENSON MOVED, COUNCIL MEMBER HILTY SECONDED a motion to have the Acting Mayor approve all of the appointments for 2025 and committee members. All Ayes, MOTION CARRIED.
Trihydro City Engineer Contract Renewal
COUNCIL MEMBER HILTY MOVED, COUNCIL MEMBER STEVENSON SECONDED a motion to approve Trihydro’s Contract at $2,200 a month for a total of $26,400 for the next year. All Ayes, MOTION CARRIED.
3rd Street Waterline Change Order #1

2025 IRS Mileage Rate Allowance

Pasture Bid Rental for March 1, 2025 through February 28, 2026
COUNCIL MEMBER HILTY MOVED, COUNCIL MEMBER STEVENSON SECONDED a motion to have the three pasture bids parcels 1, 2 and 3 be advertised in the paper. All Ayes, MOTION CARRIED.

Pledgee Agreement

Land Swap
COUNCIL MEMBER WILSON MOVED, COUNCIL MEMBER STEVENSON SECONDED a motion to table the land trade agreement. All Ayes, MOTION CARRIED.
REPORTS
Mac Erickson, Public Works Director, reported that there is a change Order for the 3rd Street Waterline to reduce the contract price to directional drill on a portion of 3rd Street. Halme Construction is ready to go once the weather cooperates. Looking into State Revolving Fund for drinking water to help fund trying to find the over 400 unknowns between the main and curb stop. The 3rd Street Waterline Project will get rid of most of the lead/galvanized pipe. EPA is adding more to their rules in 2027. Old Stoney kick off meeting with be Thursday, January 9, 2025.
Billy Quade, Deputy Sheriff, reported that they had two DUI arrests over Christmas that were outside city limits. Reported 107 total Sundance Complaint Cards. Pulled a new kid that worked in the Detention Center and sent him to training for three months. Once he is trained the Sheriff’s Office will be fully staffed.
Gari Gill and Curt Williamson, Retired Fire Chief and New Fire Chief, reported that the firefighters are working out three times a week at Elite Fitness to help with requirements. We won’t hear if we received the AFG grant until March 2025. One new recruit will be starting on Monday and they have two new applications to review. 15 current volunteer firefighters.
Ryan Christianson, Trihydro, reported that the landfill monitoring is ongoing. Change Order #1 for the 3rd Street Waterline Project will decrease the contract amount due to directional drilling. Would like to continue working as the city engineer for another year.
Mark Hughes, City Attorney, has a client that would like to do a land swap with the city. They would like to trade parcels straight across. Mark doesn’t have an opinion because he has a conflict of interest.
Theresa Curren, Clerk Treasurer, encouraged everyone to look at our website. It has a new look now. Have a meeting with Mac and Mayor with Carl Brown to discuss the sewer and water rate studies that are being done. Need to answer any questions that there might be and find out whether any other information is needed. Invited people to stay to congratulate Gari on his retirement and eat cupcakes.
Randy Stevenson, Council Member, asked about the trash contract and when it is up for renewal. Discussion was made on when garbage is picked up and how long between RFPs.
