Crook County Museum District Board of Trustees – March 27

March 27, 2014 – Moorcroft, Wyoming

Trustees Present: Pam Thompson, DeeLynn Garman, Catherine Cardarelli, Rod Knudson, and Bob Smoot

Trustees Absent: Sheila Semlek

Museum District Employees Present: Rocky Courchaine, Mitch Mahoney, Cynthia Clonch, and Jeanne Rogers

Guests: Pam Jespersen and D.B. King, Moorcroft Historical Society members

Chairman Pam Thompson called the Crook County Museum District Board of Trustees Meeting to order at 5 p.m. Pam welcomed our guests, and Cynthia introduced them to the board. Pam led the Pledge of Allegiance.

Agenda: The agenda was presented. DeeLynn made a motion to accept the agenda as amended. Rod seconded the motion. Motion carried.

Minutes: The minutes were presented. Rod made a motion to accept the minutes as presented. Catherine seconded the motion. Motion carried.

Treasurer’s Report: The bills were presented. A full statement of all accounts will be presented at the next meeting. The Treasurer’s report will be placed on file.

Bills and Purchase Orders: Mitch and Cynthia presented purchase orders. DeeLynn made a motion to accept the purchase orders and to pay all bills. Catherine seconded the motion. Motion carried.

UNFINISHED BUSINESS:

MOU with Moorcroft Historical Society (MHS)—Signatures: Two copies of the MOU with MHS were signed by all CCMD board members present. Pam Jespersen will take both copies to the next MHS meeting to be signed by the MHS board, and will return one fully signed copy to CCMD for the District files.

MOU with Crook County Museum and Art Gallery Foundation—Signatures: Tabled. This document will be signed at the April CCMD board meeting.

Summit National Bank Signatures: The paperwork for Summit National Bank accounts was signed by Pam, Rod, and Jeanne; Sheila will sign at a later time.

In-kind Recordkeeping Form: Tabled. This document will be discussed at the April CCMD board meeting.

NEW BUSINESS:

Lease for Sharp Building—Signatures: Two copies of the new 2014 Sharp Building Lease were signed by the CCMD board members present. As Sylvia Sharp had already signed the lease, one copy will be returned to her, and one copy will be filed in the District office.

Board Training (Tammy Baron): Information on the Board Training being offered was presented to the Board. Discussion was held, and the Board declined to be involved at this time, as they will hold a training later this year after the fall elections.

2014-2015 Budget: The 2014 election costs need to be added to the budget. A preliminary budget is being prepared, and will be presented at the April CCMD Board meeting.

Advertisement in 2014 Sundance Visitor Guide: Rocky presented information on a co-op museum advertisement in this booklet. Catherine made a motion to approve a full-page advertisement in the 2014 Sundance Visitor Guide, and Rod seconded the motion. Motion carried.

Advertisement in From the Big Horns to the Black Hills: Rocky presented information on a co-op advertisement in this booklet. Bob made a motion to approve a 1/2 page advertisement in the 2014 From the Big Horns to the Black Hills, and Catherine seconded the motion. Motion carried.

REPORTS:

Old Stoney Report: Rocky gave an update on the Old Stoney web site redesign. The DonateNow online fundraising portion of the site will soon be active, and other design features are being put into place. The revamped web site will start with just a few pages, and more pages and information will be added as they are reworked. Rocky would like to showcase the 2014 Old Stoney Art Auction silent auction items on the web site, and make them available for online bids.

Director Reports:

Director Reports are attached.

Administrative Report: Rocky and Jeanne attended an online/telephone training with Network for Good on how to set up the Old Stoney web site DonateNow fundraising page for maximum benefit and ease of use. Jeanne read a thank you card from Susan Rice, gave information on an overpayment to the Wyoming retirement account, and talked about the office routine.

Compensation Time and Time Off Requests: Comp time and time off requests were presented to the board. Rod made a motion to accept all comp time and time-off requests. DeeLynn seconded, and the motion carried.

Adjournment: Pam thanked all who came to the meeting, especially our guests. The meeting was adjourned at 6:45 p.m.

April Meeting: The next meeting of the Crook County Museum District Board of Trustees will be held on April 24, 2014 in Sundance at 5 p.m. at the Crook County Museum District office board room, 109 North 3rd St.
